AI agent or n8n: which should run your business tasks?
You want a task off your plate, like answering the same WhatsApp questions or chasing unpaid invoices. Two kinds of tools keep coming up for this.
One is an AI agent like Hermes Agent or OpenClaw, which you chat with and which decides what to do. The other is n8n, which runs a fixed list of steps you set up once.
They aren't really rivals. This post explains the difference in plain words, what each one costs and where each goes wrong. It ends with a three-question test you can use on any task.
A recipe or an assistant
n8n is a recipe. You set out the steps once. For example: a new form comes in, so add a row to Google Sheets and send a WhatsApp message. It does exactly that, the same way, every time. If something breaks, you can see which step failed.
An AI agent is an assistant. You tell it what you want in a normal sentence, and it works out the steps itself. It can read files, search the web, write, and use the apps you connect. That makes it flexible, but it may do the same task a bit differently each time.
What Hermes Agent and OpenClaw are
Both are free and open source, which means anyone can download them and read their code. You install one on your own computer or a rented server. Then you talk to it through chat apps you already use.
- Hermes Agent, from Nous Research, works with Telegram, Discord, Slack, WhatsApp, Signal and email. It remembers you between chats and saves what it learns from hard tasks as reusable "skills". It also has a built-in scheduler for jobs like a daily report (Hermes Agent on GitHub).
- OpenClaw is a personal assistant that runs on your own machine. It works with WhatsApp, Telegram, Slack, Discord and more than 20 other apps (OpenClaw on GitHub). It can also run jobs on a schedule, or start when another app sends it a message (OpenClaw automation docs).
The software is free, but the "brain" is not. Every message goes to an AI model you pick, such as Claude or ChatGPT. You pay that company for what you use. An agent that reads long documents all day can cost more than you expect, so check the price page first.
What n8n is
n8n builds workflows, which are steps that run by themselves when something happens. You connect boxes on a screen, and each box is one step. It links to more than 1,000 apps, including the official WhatsApp Business system from Meta (n8n WhatsApp Business Cloud).
- Free if you run it on your own server. This is the Community edition. n8n's license FAQ says a business may use it free to run the business (n8n license FAQ).
- Paid if n8n hosts it for you. The Starter plan is €20 a month, billed yearly, for 2,500 runs a month (n8n pricing, checked 1 October 2026). One run is one full pass through a workflow, however many steps it has.
n8n can use AI too. Its AI Agent step lets one part of a workflow think for itself. It can also wait for your OK before it sends a message or changes a record (n8n human approval).
Where each one goes wrong
AI agents
- Same request, different result. That's fine for a draft, but risky for an invoice.
- They act with your access. If the agent can read your email and run programs, a cleverly written message from a stranger could trick it. OpenClaw's own security guide tells users to "treat inbound messages as untrusted input".
- Business WhatsApp is risky. OpenClaw links to WhatsApp the way WhatsApp Web does, not through Meta's official business system (OpenClaw WhatsApp docs). WhatsApp's terms list auto-messaging among the things that can get an account suspended (WhatsApp terms).
n8n
- It only does what you set up. A customer who writes something unexpected falls through the gaps, unless you add a step for it.
- Someone has to build and fix it. If you run it on your own server, you also look after updates and backups.
The three-question test
Ask these three questions about each task:
- Are the steps the same every time? If yes, use n8n. If the task needs reading and judging, an AI agent fits better.
- Is a mistake costly or public? If yes, use n8n, or n8n with an AI step that a person approves.
- Does a customer see the result? If yes, use n8n with official connections. Keep a personal agent for work only you see.
Here is how it looks on two real tasks. Copy it and swap in your own:

What this means for you
- Customer tasks that repeat (bookings, reminders, order updates, enquiry forms): build them in n8n. Add an AI step only where it helps, like sorting messages. Ask for approval before anything is sent or charged.
- Thinking work only you see (research, summaries, drafts, weekly reports): try a personal agent. Put it on a spare computer or a small server, not the laptop you bank on. Chat with it on Telegram, not your business WhatsApp number.
- Not sure where to start? Pick one small, boring task and build it in n8n first. A fixed workflow is easier to check, and easier to switch off.
