AI Agent or Admin Staff? What Each Costs a Month in Rupiah

"Can an AI agent replace my admin?" An AI agent is software that reads customer chats and answers them for you. It's a fair question. An admin in Jakarta earns at least Rp5.7 million a month, and an agent is sold as working day and night for less.

The honest answer: an AI agent costs far less, but it does a narrower job. Below is the monthly cost of each, using official prices. You also get a sum to fill in with your own numbers.

What an admin costs

Jakarta's 2026 provincial minimum wage is Rp5,729,876 a month, set by the governor in December 2025 (report). Other provinces have lower minimums, so check yours.

That is the minimum salary only. Holiday pay (THR), BPJS and a phone plan come on top.

In return you get a person who does more than answer chats. They pack orders, calm an angry customer, chase a late transfer and notice when something is off.

What an AI agent costs

An AI agent that answers on WhatsApp has three costs.

1. WhatsApp's fee per reply. Since 1 October 2026, Meta charges for every reply sent through the WhatsApp Business Platform, the connection chatbots and AI agents use. In Indonesia that is Rp356.65 per reply on Meta's official rate card. We explained the change in this post.
2. The AI model. This is the "brain" that writes the answer. A small model such as Claude Haiku 5.5 costs US$0.10 per million tokens read and US$0.50 per million written. A token is a small piece of a word. A typical reply reads your price list and the chat, then writes a short answer. That comes to well under Rp10 at about Rp18,000 per US dollar (Bank Indonesia rate).
3. The tool or developer. Someone has to connect it, write its rules and fix it when it gets things wrong. Prices vary a lot, so ask for a monthly figure in writing.

The sum for a small online shop

Take a shop that gets 50 customer questions a day and sends 2 replies per question. That is about 3,000 replies a month.

• WhatsApp: 3,000 × Rp356.65 = about Rp1,070,000
• AI model: 3,000 × under Rp10 = under Rp30,000
• Tool or developer: your quote

Don't know your reply count? Count the chats you answer over three days, multiply by 10, then double it for follow-up messages.

What the agent can't do

An agent is good at the questions you answer twenty times a day: opening hours, prices, stock, location, how to order. It answers at 11pm, when your admin is asleep.

It can't pack a parcel, calm down a customer whose order arrived broken or decide whether to give a discount. It will also sometimes answer wrongly, so someone still has to read the chats.

What this means for you

• Don't replace your admin with an agent. Let the agent take the repeated questions and the night shift, so your admin spends time on orders and problems.
• Do the sum before you buy. If the agent costs Rp1.5 million a month, it needs to win back at least that much in admin hours or late-night orders.
• Cut the reply count. Every message is charged, so one clear reply beats "Hi!", "Thanks for waiting" and then the answer.
